We are seeking a highly experienced Executive Assistant (EA), to provide proactive, high-quality support.  This is a critical role requiring exceptional organisation capability, sound judgement, discretion, and the ability to operate confidentially in a fast paced, senior stakeholder environment.  The successful candidate will act as a trusted partner to leadership, ensuring executives are able to focus on strategic priorities through effective diary management, communication, coordination, and delivery.

To be successful as an Executive Assistant, you should have:

  • Proven experience as an Executive assistant managing multiple Directors (minimum of 3 years).

  • Strong organisation skills to manage complex diaries, travel plans and competing priorities and time zones, in a fast-paced environment.

  • Demonstrable Communication skills, both verbal and written, being detail oriented.

  • MS office skills, such as PowerPoint, enabling support for governance activities, leadership forums, agendas, and minutes.

  • Proactive and Collaborative mindset, with an ability to anticipate issues, resolve problems and escalate where appropriate.

  • Act with a high level of discretion, integrity, and professionalism with and ability to work autonomously, demonstrating initiative.

This role is based in Glasgow.

Purpose of the role

To manage the executive's schedule, handling correspondence, preparing presentations and reports, and providing other administrative support as needed. 

Accountabilities

  • Management of senior executive members calendars and overseeing their timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation, and ground transportation, ensuring timely and efficient travel for the executive.
  • Proactively anticipating the needs of the senior executive, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.
  • Management and facilitation of senior executive members meetings.

  • Guide and persuade team members and communicate complex / sensitive information.
  • Act as contact point for stakeholders outside of the immediate function, while building a network of contacts outside team and external to the organisation.
