Join us as a Personal Assistant at Barclays, where you will provide high-quality personal assistance to Managing Directors within a Global product organisation. You will operate in a fast-paced, international facing environment, working closely with senior stakeholders across the bank and engaging regularly with senior leaders across product, sales, and functional teams. It requires professionalism, discretion, and sound judgment, with the ability to operate confidently and effectively at senior levels.

Alongside core Personal Assistant responsibilities such as complex diary management, travel and expenses, the role requires a proactive and highly organised individual who can anticipate needs, manage information flow, and support senior leaders in remaining focused on priorities. This includes preparing meeting briefings, coordinating inputs, tracking actions and follow-ups, and sneering effective preparation for key forums and engagements. The role demands strong attention to detail, prioritisation skills, and the ability to manage competing demands.

You will bring proven experience supporting senior leaders in demanding environments, with confidence to operate autonomously, adapt to changing priorities, and build trusted relationships across a broad stakeholder group. This is a visible and trusted role supporting the leadership team, offering exposure to senior decision making and the opportunity to contribute meaningfully to leadership effectiveness.

Purpose of the role

To provide administrative and organisational support to executives, managers, or teams. To manage schedules, acting as a trusted point of contact, ensuring seamless coordination, efficient task management, and a professional presence for their assigned individuals or teams. 

Accountabilities

  • Management of executive, managers or team calendars and overseeing timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation and ground transportation, ensuring timely and efficient travel for the executive or team.
  • Proactively anticipating the needs of the executive or team, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.
